How to Create Orders for Retail & Wholesale Customers

Where to find it

There are two ways in:

  • From a customer's orders page — the Create Order button is in the top right. The form opens with that customer already selected.
  • From your main Orders page — the button sits next to your downloads. Starting here doesn't pre-select anyone, so you'll pick from your full client list.

Set up the order

When you open the form from a customer's page, it defaults to their customer type, their account, and the fulfillment option from their most recent order.

Fulfillment type. Switch between pickup, delivery, or digital. Delivery only shows if the customer has a delivery address on file — otherwise it reverts to pickup. All your pickup options appear here, and you can choose whether to charge the fee that normally goes with that option.

Fulfillment date. Pick any date that lands on the correct day of the week for that location. It can be in the past (something they already picked up) or in the future (to add to an upcoming delivery).

Actions menu

Two settings control how the order is handled:

  • Charge the member — turn this off if they already paid in person, or if they're an offline payer with no payment account on file.
  • Enforce available inventory — leave on to block orders that exceed your inventory and to subtract what this order uses. Uncheck it if you've already filled the order and don't need inventory updated.

Add items

On the right, search your entire product catalog and select what you want. Once items are added, you can switch between variants and edit the price and quantity. Use the small icon to remove an item, or click back in to add more.

When everything looks right, click Create Order in the top right. You'll get a confirmation and land back on the customer's orders page with the new order at the top.

Wholesale customers

For a wholesale customer, the form defaults to wholesale with their organization and most recent fulfillment options selected. The charging options work a little differently:

  • The order is always approved on creation, so there's no extra approval step.
  • If the customer has a payment method on file, you can choose to charge immediately (generates the invoice and marks it paid automatically) or leave it unchecked to create an open invoice billed on your usual terms — Net30 or any other agreement.

The same inventory options apply.

Create a new wholesale organization

You can add a brand-new wholesale org right in this form: select wholesale and type in the organization name. It won't ask for other contact info, but if you choose delivery you'll need to enter an address.

When you submit, the order attaches to that organization and uses that location. The customer won't appear in your contacts list (since you didn't enter contact info), but it will be selectable in this form next time you create an order for them.
