How to Create a Contact & Subscription

This short video walks you through signing up a brand-new member in Farmhand — creating the contact, building their subscription, handling delivery vs. pickup, applying coupons and starting credits, and checking the first invoice before it bills. You can follow along:

Create a contact
- Go to your Contacts tab. You'll land on All Contacts by default.
- Click Create Contact (this button lives on All Contacts only).
- Enter their name, email address, and phone number, then click Create.
- You'll get a success message — then you can search for them.
Start their subscription
Go to the Subscriptions tab and click Create. The form pre-fills the information you entered when you created the contact.
- Delivery — enter their address here.
- Pickup — skip the address and go straight to the rest of the form.
Choose the plan & schedule
- Pick the plan, share size, and payment plan.
- If it's a delivery, Farmhand automatically selects the first delivery option that matches their address. You can still pick a different one — but if their address falls outside the zone you set for that option, you'll see a warning. Switch to the option that fits their address.
- Choose their frequency.
How payment works for a new member
Payment behavior defaults to deferred for a new customer — they don't have a payment method on file yet. For security and to prevent payment disputes, only the customer can add a payment method to their own account.
So once you finish setting them up, ask them to go to gofarmhand.com, sign in, and add a payment method. At the cutoff for their first order, they'll be billed to that card.
Coupons & starting credits
- Coupon — type the code here. If it doesn't match one of your coupons, you'll be told and the form won't submit; when it's right, you'll see the valid message and can keep going.
- Credits — say they handed you cash or a check at the market. Enter that amount and they'll have it available to spend before their first invoice is created. This shows as a dollar amount on a customizable plan; on a farmer's choice plan that runs on box credits, you'll be prompted for a number of box credits instead.
Check the first invoice
As you fill out the form, Farmhand builds their first invoice on the right — so you can check everything before you commit.
The last thing to look at is the setup fee, if your plan has one. Farmhand decides whether to apply it based on prior membership status: it defaults on for a new member and off for a returning one. You can flip it either way, and you'll see it come on or off the invoice immediately.
Create & confirm
When you're happy with the settings, click Create — you'll be redirected to their subscriptions page. It'll show as processing for a minute; refresh once or twice and you'll see it turn Active. Their next order date populates automatically, and you can see that order in their Orders tab.
