How to Edit Customer Orders and Credits

This short video walks you through exactly how to edit a customer's order in Farmhand — changing quantities, adding or removing items, issuing credits, and moving items to a future order. You can follow along:

Editing an upcoming order (before cutoff, no payment yet)
These are the simplest — no payment has processed.
- Use the quantity controls to change amounts on existing items.
- Click the trash icon to remove an item.
- Click Add Items, pick from the catalog, set quantities, then Add to CSA order (or Add to order for retail).
Editing a confirmed order (payment already processed)
Confirmed orders need a billing decision for each change. Use the kebab menu (⋮) next to each line item.
Change a quantity:
- Kebab → Change quantity.
- Update the number.
- Choose how to handle the difference:
- Add pending charge — debit shows on their next invoice
- Charge now — runs through Stripe immediately against their card on file
- No charge — for cash/check, or a replacement for last week's missed item
- Choose whether to deduct from inventory.
Remove an item:
- Kebab → Remove.
- Choose whether to issue a credit (usually yes — they already paid).
Issue an account credit (item was delivered but wasn't right — e.g., wilted spinach):
- Click Issue account credit.
- Item and amount pre-populate. Verify → Add credit.
Move an item to their next order (item didn't make it; you'll send it next week):
- Kebab → Move to next.
- Choose whether to credit them (usually no — they'll still receive it).
Editing a customizable share order
Same actions, different layout.
Heads-up: if the box builder isn't published, you can't edit pending customizable orders. Publish it first.
Pending customizable orders:
- Open the order — you'll see all items.
- Use quantity controls or remove. The multi-remove button is faster than clicking minus repeatedly when a customer has several of one item.
- To add: click Add, search your catalog directly (no need to enter the shop), adjust price if needed (e.g., for a comp item), → Add.
- The total-change counter at the top tracks net changes; the invoice preview updates live.
- Save.
Override the minimum: customers can't save below the order minimum. You can. The page flags it but won't block you.
Confirmed customizable orders
Same actions, plus a billing decision.
When you save changes:
Add pending charge — the order summary shows "pending charge added" for the difference.

- 2Charge now — new receipt is linked in the Invoice section of the page. If you choose "add pending charge", the order summary shows "pending charge added" for the difference.

To see every charge and credit your edits created, open the customer's Payment tab. You'll see pending charges for items added or quantities increased, and credits granted for items removed or decreased
